Questions

Teams, calling companies and partners: questions

Short answers about working a lead with other people in Keystone.

DRAFT NOTE (remove at go-live): the live FAQ is untouched. Calling-company answers go live only when that feature is switched on.

Teams

Who can I add to my team?

Anyone you invite by email. You choose the counties they work and who pays for those counties. They accept with that email and then see the leads for the counties you gave them.

Will two of us call the same owner?

By default everyone on a county sees all of its leads, and each lead shows what your teammates noted and where they have it. To give each person their own slice, split the county by case type, town, ZIP or evenly.

Can my teammates see my notes?

Teammates who also have the lead see your latest note, its status in your pipeline and your last contact on that lead. Everyone writes only their own notes.

Is a calling company part of my team?

No. A calling company is connected separately and reaches only the leads you send it. It never becomes a team member and can't see your other leads, billing, settings or CRM connections.

Calling companies

How do I connect a calling company?

Enter the company's name and email and click Connect. You get a private invite link to send them; we don't email it. It works only for that email and stops working after 14 days. You can connect up to 5 calling companies.

How do leads get to my callers?

Two ways: pick leads by hand, or let one of your saved filters send up to a set number of matching leads a day, soonest sale date first. You can send to the whole company or to one caller.

Do callers see phone numbers?

Yes. Callers see the phone numbers on the leads you send them, with any number on the Do Not Call list marked. You and your calling company are responsible for following the laws that apply to calling, including Do Not Call and TCPA rules.

Can two callers call the same lead at once?

No. When a caller opens a lead it's held for them for 20 minutes, and other callers see who is on it.

How do I know what my calling company did?

Every call and note shows on the lead with the caller's name. Results show calls made, owners reached, appointments and ready-to-talk leads, by caller and by lead type.

Can a caller work for more than one of my calling company's clients?

Yes. A caller sees every client the company calls for and switches between them. Each client's leads stay separate.

How do I stop working with a calling company?

Click Disconnect. Their list closes and their access ends right away, in one step. The calls they logged stay in your results.

Partners

What does my partner see?

The cases you put on their list: owner, property, case type, court stage and the next court date. Never phone numbers, emails or case numbers, and nothing else in your account.

Does my partner need an account?

No. They open a private link on a phone or a computer and give their name. You can have us email the link or send it yourself.

How do my partner and I keep track of a case?

Each case has one set of shared notes and a status, next step, due date and whose turn it is. Either side can update it, and each change is written into the notes.

Can a partner list fill itself?

Yes. Point a list at one of your saved filters and new matching cases are added as they come in, within the list limits.

Are there limits on sharing?

Yes. There are limits on how many cases a partner can hold at once, how many lists you can keep, and how many cases you can add in a month. The app tells you when you reach one. A link nobody opens for 90 days stops working.

Can I stop sharing?

Any time. Remove a case, make a new link (the old one stops working), or stop sharing the whole list.
